Update #15 – Appointment Notifications for Staff, Enhanced editing for Subscriptions

This first update will make your managers lives a little easier.

We have updated the Invoices section in the Contact page to add some more functionality to it. When you open the Invoices modal inside the contact page, you will now see more info being displayed, such as subscription start date, next payment date, end date, and status. When you click on a subscription, it will now open a new modal that will allow you to edit the subscription settings. You will be able to change the product, payment amount, auto bill, status, frequency, start date, end date, and credit card associated with it.

A few notes about the subscriptions update:

  • You cannot change the Next Payment Date. This is limited by the Infusionsoft API and there isn’t anything I can do about it. If you need to change the payment date, the current work around is to cancel the current subscription and create a new subscription. Annoying, but gets the job done.
  • You must enter the admin password to make a change to a subscription. This is to safeguard this page and prevent your lower level staff from making changes. Keep in mind that if you use a shared computer to access this page, be sure to NOT save your password here. If you do, then the autofill may prepopulate this and give unwanted staff members the ability to make changes.

This next update will make your consultants happy.

We have just overhauled the Staff editor so that it can now store phone numbers, email, Infusionsoft Id’s, and more. This is going to allow us to do a lot more automation tasks, but for the moment now whenever a new appointment is created for a staff member, they will get an email notification with the appointment details.

A few notes about this:

  • The Appointment Type must be set to “Appointment” in order for the consultant to get a notification
  • The Consultant must have an email entered in the system.

Update #14 – Quicker Access to Contact Tags, Sales Taxes, Sorting Custom Fields

I think everyone will love this update. 🙂

I have now added a new panel in the contact page which displays all the contact tags by both tag category and tag name. So simple, but it saves you a few clicks to get access to needed info.

You will still need to access the Open > Tags menu to add or remove tags, which has also been updated. You will now see a new column showing the tag category, and when you apply tags, you will see all tags are sorted by tag category and then tag name – making it a whole lot easier to find your tags.

I have also added the ability to apply sales taxes to standard contracts, and give you the option of sorting your custom fields on the contact page as well. To learn more about these new features, watch the videos in the Training Library.

Update #13 – SMS Text Chatting And Automated Texts!

I have been working hard on this for a while, and I am happy to bring this to you just before the weekend.

You now can Text Your Contacts with InfusedGym!

This will open up a LOT of possibilities for you. The best part is that all of the texts are stored inside Infusionsoft as Notes – both the ones you send and even the replies your customer send back to you.

Unlike other software, you can actually have a back and forth conversation through InfusedGym, and get email notifications every time someone replies to a text (both through your chat or the campaign builder).

Yes, you can now make your own text templates that you can use as HTTP Posts inside the campaign builder as well! The texts can also have merge fields in them, so you can personalize your texts to your contacts or use specific custom fields in them as well.

The text number is a unique number tied to your area code. However, if anyone calls it, the call will be forwarded to your business phone line (I am using the number that has been setup inside your Infusionsoft account as your business phone). If you want the calls to go to a different phone number, please reply and let me know.

Update #12 – Student Self Scanner and Add Your Custom Fields

The first new feature will be welcome add-on to those of you that use a lot of your own custom fields. InfusedGym will now allow you to choose which custom fields you want to see in the Contact Page and allow you to edit or update them at your leisure.

You no longer have go into Infusionsoft to edit your custom fields, so this should save a lot time.

The next feature is for gyms that have an unmanned front desk, or perhaps a more open check-in process.

The new Self Scanner is designed for a monitor that is facing your students rather that your staff. Very similar interface to the QR Scanner, but the page remains fixed on the scanning screen, and will only show basic contact information when they scan. All the same audio alerts and notifications still occur (along with email alerts).

Update #11 – Ranks Associated with Styles, and Faster Inputting of Agreements

InfusedGym now links Ranks and Classes to a Style rather than a program. This allows you to cater to many more ranks and to properly follow their progression in your promotion process.

Most of you won’t notice this change, but the next one you definitely will!

We have now added a drop down box in the Standard Contract page, which will allow you to select valid credit cards that are already linked to your contact. This will be a big help for those of you that are upgrading students and inputting new agreements.

Update #10 – Customizable Billing Cycles

I have been working on something that I think a lot of you will find tremendous value in. But, it will be a while before it is ready. I had a few customers ask me for this feature, so I made a quick adjustment to allow even more billing flexibility.

It is very simple. When you are inputting a new contract, you will now see a pair of fields underneath the start date called Billing Cycle Every. You can choose a cycle period (weeks,months, or years) and then input an integer for the number of cycles to wait before billing.

For example, if you want to bill for an after-school program on a bi-weekly basis (once every 2 weeks), you would set the cycle to Week and the frequency to 2. By default, it is set to Month and 1 (for a monthly payment plan). This billing cycle will apply to BOTH Recurring Payments and Automatic Renewal payments.

Please watch the video as some fields have been removed or replaced for simplicity.

Update #9 – Email ID Cards to Students with 1 Click

This one should be a cool feature for you all!

You can now use the contact page to email ID cards to students with only one click.

This will send them an email with a PDF file of their ID card, along with a thank you message branded with your business’ name to the customer. This will then allow them to print out their own ID cards at home, or even cooler, scan into class through their mobile device.

Update #8 – International Date Support and Daily Attendance Reports

After a few requests from my friends overseas, I have made an update to InfusedGym to allow international date formats (dd-mm-yyyy). This setting is an easy on/off toggle in the User Settings menu. All dates shown inside InfusedGym will be then shown with the chosen date format (either mm/dd/yyy or dd-mm-yyyy).

One thing to keep in mind, is that Infusionsoft also has the ability to show dates in an international format, but it is not an easy on/off switch. You will need to create a ticket with Infusionsoft for them to toggle this for you, and it takes them a couple of days to activate it. However, regardless of the date format you choose, it doesn’t prevent InfusedGym from functioning properly.

The second update is a new report called the Attendance Report. Not very creative, but to the point. 🙂

This report will allow you to choose a date to look up attendance reports for, and will show ALL classes (including open mat) that students have attended. You can sort this table however you like, and then click on any stat to open a list of students in that stat (which can also be clicked to open the student profile).

Update #7 – Saved Search and Report Generator

This is a very cool feature that I am excited about, and I know all my managers out there will be too!

You can now access ALL Saved Searches and Reports from Infusionsoft inside InfusedGym.

This report generator couldn’t be easier to use, and has easier functionality than what you would find inside Infusionsoft.

Update #6 – Rank Editor, Testing & Promotion Reports, Built in ID Scanner

I have been hard at work to add even more features based on user feedback for InfusedGym, and happen to announce these new features!

The new Rank Editor menu allows you to create your own ranks, and set up how the criteria needed for promotion based on test scores and amount of classes attended. It is now possible for students to have multiple ranks as well.

We have also added a built in ID Scanner that is compatible across all common OS (PC, and Mac). This simplifies the installation process and hassle in finding a good QR scanner for a desktop.

Finally, I have updated the attendance reports to automatically detect when students have achieved the proper amount of points or classes to make them eligible for promotion. There is also no a dedicated report to finding students who are eligible for promotion as well!
